There are many advantages and disadvantages to both renting and purchasing a trade show booth. How do you know which one is right for your company? It depends on a multitude of factors. How often will you need a trade show booth? What’s your budget? Are you planning on rebranding anytime in the near future? Will you need to reconfigure your booth at any time?

These are all questions you’ll want to consider when making a decision about whether renting or buying is right for your company. To help aid you in this process, we’ve detailed some of the pros and cons of each option below. It’s something you’ll want to devote some time to evaluate, but you don’t have to do it alone. Buying

Pros:

Complete and total customization.

If you’re looking to advertise a special product, innovation, or design, or perhaps want a truly unique interactive display, then purchasing is the only route to go.

Ideal for attending multiple shows with the same design/layout

If your company attends multiple (typically four or more) trade shows in a one-year period, and you don’t plan on changing the design, graphics, or layout, then purchasing is a great option. Similarly, if you’d like to have a “standard” booth for your company to keep on hand for general exhibitions, you can always rent special add-ons whenever you want to have more pizazz.

More economical the larger your booth is depending on the size and structure of your booth, purchasing can sometimes wind up being the more financially sound option. For example, if your booth is going to be a 10 x 20 pop-up, it can in fact be cheaper than renting a 10 x 10 hard wall structure. As you might expect, labor and materials expenses increase as booth size does.

Cons:

Not always feasible for smaller budgets

While purchasing a trade show booth can be a great investment in the long run, smaller companies might not always have the initial capital to purchase one.

You are responsible for the costs of ownership

When you own a trade show booth, you’ll be responsible for the costs of storage, maintenance, insurance, transportation, and more.

No variation from show to show

If you expect to see many of the same showgoers from show to show, having the exact same booth layout and content may not be the best choice. This can deter repeat visits and make your company feel stale. That being said, most companies will not face this issue.

Pros

Offers flexibility if you’re attending multiple exhibitions on a small budget

If you need your booths to be in two places at once, clearly, purchasing isn’t the most cost-effective option. Instead of buying two or more booths, you can rent multiple booths to set up at different locations during the same time frame. Turnaround times can be quite lengthy in the trade show business. If you have a show on the east coast one week, then the next week you need to attend one on the west coast, the logistics of having your booth in both locations would be a nightmare. The smart choice would be to rent two separate booths to feature at both exhibitions. Rebranding is as easy as 1-2-3

Is current branding getting stale? Reinvigorating the look and feel of a brand is a natural part of the business cycle, but it can become a real headache if you have lots of capital that will need to be updated to reflect your new branding. If you anticipate that you’ll be rebranding anytime soon, renting is the best course of action. While changing graphics is always fairly easy, if you’ll want to change any other aspects of your booth to accompany a rebrand, such as materials or layout, it’s much easier to do with a rental.

Easily reconfigure floor plans & layouts

Not every exhibition space is the same. Some require smaller footprints, while others allow for much larger layouts. Renting two booths to match the two separate event spaces is a prudent choice

 

If your company is exhibiting at multiple trade shows with different floor plan spaces, purchasing a booth will make it hard for you to accommodate varying sizes on a similar budget.

The most economical option, particularly for smaller booths

If you’re looking for a smaller footprint, such as 10 x 10, renting is usually your best bet. As your booth becomes larger and more intricate, the value of purchasing over renting tends to increase.

Avoid the hassles of ownership

If you own your own booth, you will naturally be responsible for things like storing it, procuring insurance, ensuring it stays maintained, and more. Instead, renting means that you only have to handle shipping your rental back to our storage warehouse.

Adhering to trade show regulations is easier

Different trade shows have different rules and regulations that exhibitors must adhere to. If you’re attending multiple trade shows per year, adjusting your purchased booth to meet these requirements can be a real nuisance. Renting gives you more flexibility to meet the requirements set forth by various trade shows.

 

Cons:

Customization options are limited

While our rentals do offer a very high degree of customization, if you want a trade show booth that is 100% original and custom, you’ll need to purchase your own booth. The reason for this is the rental booths are constructed using prefab elements, so while you have a choice as to the combination of elements and the graphics used, you won’t be able to ask for any custom items or pieces.

Your options might be limited by the inventory on hand

Our exhibit house doesn’t always have all of its inventory on hand at any given point, depending on whether or not it’s being rented out. When they construct your trade show booth, they’ll be limited to the inventory on hand. We’ll let you know beforehand what’s available and what’s not, but if you’re looking for full control over what you can have, then you’ll want to purchase a rental.

Minor wear and tear could be present

As is the nature of renting, the parts and pieces of rental trade show booths will receive significantly more use than those of a purchased booth. Over time, they can begin to show signs of minor wear and tear. We service and maintain all of our rental equipment so that it’s in perfect working condition, but if it’s important to you to have a trade show booth that looks like it just rolled off the assembly line, then buying is your best bet.

Hybrid Programs

Some of our clients opt for a hybrid solution, wherein they purchase a base model booth and then rent as needed.
